How To Outsource Printing And Cut Costs

By Terrie Joyner

These days it is fairly common to come across a large number of companies outsourcing different services to major industries. Amongst the most common are call centers, print centers and technical or computer based help desks. Most outsourcing is done mainly as a step towards managing and reducing costs and expense. This is especially the case when a person decides to outsource printing orders to service providers.

Outsourcing of different tasks and jobs can be very beneficial in more than one way. Cutting costs being the primary benefit is one that is usually missed out by many organizations. Outsourcing work can help reduce expenditure by a significant margin allowing companies to save and utilize funds elsewhere.

The first area where cost can be reduced is the obvious expense of printers and equipment. Companies which offer such services usually tend to have their own equipment and that way the cost of up keep and maintenance is also taken over by them.

It is common for many people to not be able to see what kind of expenses they could save on however, if a person was to break down the print process, costs would become apparent. Main expense includes the equipment and the machinery. People develop the misconception that it is a onetime payment that would end after the printer is purchased but that is not the case. Especially, such fees which are incurred when printers develop some kind of problem.

In the event that seasoned professionals are not hired for such tasks, machinery and equipment can break down which leads to higher levels of expense. Professional maintenance vendors also tend to charge a significant amount in fees and usually bind customers in with yearlong contracts. These contracts usually require monthly payments to be made for technical assistance and operational support services.

Paper, inks and cleaning materials are the second high priced item that can be cut away if projects are outsourced. Usually such service providers tend to charge an all inclusive amount per page which contains the price for ink, paper, processing and at times maintenance as well. Some machinery will only provide the best results with the application of prescribed branded paper. This is also a high cost product which when purchased in bulk quantity can really increase expenditure.

Such when purchased in bulk quantity result in a large sum being spent for printing services. This when paired together with the cost of paper can exceed budgets and result in substandard quality as a whole. This is a major area where savings can be achieved if an individual was to consider outsourcing such tasks. When a company outsources to another company, such things are not included in payments.

In the end when a person starts to take note of the many benefits that come when they outsource printing along with cost there is also time management. This is such a task that requires a great deal of observation and companies have to hire special people just to monitor all print jobs. When such work is outsourced this is also something that gets eliminated.
